Overview
This guide walks the full scheduling path — from creating crews to closing out field days.
Crews → Ready jobs → Schedule → Crew Portal → Review → Job complete
Open: Schedule
Step 1: Set up crews (prerequisite)
You need at least one crew before scheduling jobs. Dirt Face prompts you with No Crews Set Up if you try to schedule without any.
- Go to Business Settings → Manage Team
- Open the Crews subtab (
?tab=team&subTab=crews) - Create Crew — name, color, members, location (multi-location)
- Add team members with Crew Portal access on the Members subtab if installers need field login
See Assign crews and Crews in Business Settings.
Step 2: Prepare jobs for scheduling
Jobs appear in the unscheduled sidebar when:
- Status is Ready (pre-job checklist complete)
- Requires Scheduling is on (job detail → Job info)
- Not already fully scheduled
Complete the pre-job checklist and confirm scope on job detail.
Step 3: Schedule on the calendar
- Open Schedule
- Use the unscheduled jobs sidebar (right on desktop; floating button on mobile)
- Drag a job onto a crew lane and time slot, or click Schedule Crew → Schedule Job
- In the scheduling modal, confirm dates, crew per day, and times
- Save — job status moves toward Scheduled
Multi-day installs: add multiple days in one modal; each day can use a different crew.
See Schedule jobs and Calendar overview.
Step 4: Crew executes in the field
Assigned events appear in the Crew Portal. Crews log time, photos, daily progress, and material usage.
Office can print a crew job PDF from job detail for paper backup.
Step 5: Review and approve
The Review queue in the sidebar lists:
- Review Needed — crew marked a day complete
- Daily Update — in-progress status from the field
Open an item to approve hours, photos, and materials in the manager review modal.
Step 6: Handle delays
- Blocked days — crew marks access or weather issues; resolve from review queue or jobs list
- Weather Delay — bulk-push events forward from the Delay toolbar button
See Time off and delays.
