Overview

A sales order reserves inventory for a job or customer and tracks what was planned, picked, and invoiced. Use this page to manage materials through fulfillment, billing, and close-out.

Where in the app: Inventory → Sales Orders → open an order
Open: Sales Orders

Status workflow

Open → Partially Fulfilled → Fulfilled → Closed.

  • Open — Materials are reserved.
  • Fulfilled — Everything planned has been picked or shipped.
  • Closed — Order is finished and any leftover reservations are resolved.

Fulfill Items

Pick and ship specific quantities line by line. Inventory is deducted for what you fulfill. Use this when materials actually leave the shelf (manually, via Scan to Pick, or through crew scheduling). You can fulfill in multiple passes.

Complete SO (close)

Finish the sales order without picking more items. Sets status to Closed. If some reserved stock was never picked, choose Return Unused to Stock (releases reservations) or Mark All as Used (consumes reserved quantity as if installed on the job).

Create Invoice

Available when the SO has been partially or fully fulfilled. Opens the invoice screen with this sales order's lines ready to bill. You can also create an invoice from Billing → Create Invoice and optionally load an open sales order from the sidebar.

Packing slip

Print or download a packing slip for warehouse or delivery. Shows what is on the order and fulfillment progress.

Edit SO

While the SO is Open, edit customer, line items, quantities, and notes. Changes may update inventory reservations.

Create PO for Shortages

When reserved quantity is less than planned because stock is short, create a purchase order to cover the gap for a vendor.

Cancel SO

Cancels the order and returns unused reserved materials to available stock. Use when the job or sale will not proceed.

Reopen SO

On a closed order, reopen to re-reserve inventory for unfulfilled planned quantities.
